The
School of Social Work
invites applications for an
Administrative Associate II
to join their team. The successful applicant is required to have outstanding customer service and time management skills. The person assigned to this position will assist in multiple projects, will have standard daily work and will interface with students and faculty. This role holds a key position in the department which has responsibilities working with staff, students and faculty including:
Answering department phone calls
Assisting with payroll
Assisting with accounts payable and receivable
Assist with purchase card and travel expense reconciliation
Assist with financial management of grants
Managing the reception desk
Working with project leaders, managers and directors to help ensure successful completion of projects
Working with students and academic advisors as needed
Demonstrating a commitment to the University of Montana, the College of Health and the School of Social Work’s mission, vision and values in daily activities as well as supporting an environment of understanding, acceptance and appreciation for diversity
The successful applicant must have the ability to multitask and to work well in an organized team setting with a wide variety of people. The person in this role must also have exceptional interpersonal communication skills.
Required Skills
Ability to deliver exceptional customer service.
Excellent oral and written interpersonal communication skills and the ability to disseminate information to appropriate stakeholders
Knowledge of HIPAA and FERPA laws and application. Be able to ensure absolute privacy and confidentiality with regards to protected information
Exceptional computer skills including knowledge of Microsoft Office applications including Microsoft Outlook and the ability to learn and work in multiple computer systems simultaneously
Ability to organize meetings, events and celebrations
Maintain accurate data through data entry and self-auditing to ensure all systems and databases are accurate and up to date
Ability to work independently or within a team environment
Ability to collaborate across the college and university
Working knowledge and ability to use office equipment such as: head phones, multi-line phones, copiers, fax machines, scanners and printers
Physical ability to:
Long periods of standing or sitting
Repetitive keyboarding
Repetitive stapling
Repetitive filing &file retrieval
Repetitive opening of envelopes
Repetitive scanning
Walking moderate distances (500 feet)
Reaching
Bending
Lifting up to 30 pounds on occasion
Minimum Required Experience
High school diploma (or equivalency), as well as at least two (2) years of professional experience working in an office environment; or any combination of experience and education that would provide the competencies required to successfully discharge the essential duties assigned to this position
Preferred Qualifications
Bachelor’s degree or trade school completion
3-5 years’ work experience as an administrative associate or related field
