Taking a closer look at administration, one might at first wonder what this has to do with customer service. Administration, such as secretaries and receptionists, has a lot to do with customer service. They are usually the first person that an individual will see upon walking into the place of business. They are also usually the first person that someone will talk to when phoning the business and the administrative person will then direct them to someone in the office who can help them properly. They speak nicely to anyone who comes in, will often offer coffee as people wait and will take down any notes to pass along to any particular person in the office. It is these people who the customers come in to see first, so it is expected that these administrative people will be polite and help the customers in any way that they can.
What is customer service all about? Customer service is all about providing the customer what they need, being courteous to the customer and helping them in any way they can. This may sound more or less the same as what was described above as what the administrative person is supposed to do. It is supposed to sound the same, because it is the same. If the first person the customer deals with does not provide very good customer service, the customer might not want to come back. This means one less person who will deal with that particular business. There is usually plenty of competition around, so it is easy enough for the customer to take their business elsewhere. If the administrative person does provide the proper customer service and makes the customer feel appreciated and welcome, then the customer will more than likely come back. This means one more customer the business will hopefully return to them in the future. In most cases, the business will put a new administrative employee through some proper customer service training before they are allowed to take over the job. It is easy to see that even in insurance offices, the quality of customer service the front desk people provide is extremely important.
